Lễ tân nhanh chóng thu xếp chỗ ngồi và hành lý cho đoàn khách mới đến. Chuẩn bị nước uống welcome và khăn lạnh nếu cần cho khách. Giải thích nguyên nhân về sự chậm trễ (khách bị ốm không trả phòng kịp hoặc một số phòng gặp sự cố về điện, nước đang được nhân viên sửa chữa...) và xin lỗi khách ngồi chờ trong chốc lát, khách sạn sẽ khẩn trương thu xếp phòng cho quý khách. Tiếp đến gọi điện liên lạc và yêu cầu đoàn khách đang ở trả phòng ngay. Trường hợp vì lý do gì đó đoàn không thể trả phòng ngay thì có thể xin phép họ thu xếp hành lý vào 1 hoặc 2 phòng để giải phóng phòng cho đoàn đang đợi. Yêu cầu nhà buồng khẩn trương làm phòng cho khách. Được phòng nào đưa ngay cho hướng dẫn để họ ưu tiên sắp xếp cho trưởng đoàn, những khách khó tính hoặc khách VIP
