Khi gởi email xin ý kiến/ báo cáo lãnh đạo hay xin ý kiến của bộ phận khác , người gởi phải nêu rỏ tình hình sự việc và nội dung cần xin ý kiến. Trường hợp đã có nhiều email trao đổi trước đó , người gởi phải tóm tắt nội dung trai đổi giữa các bên một cách rỏ rang , đủ ý, tuyệt đối không gởi báo cáo/ yêu cầu ở dàng ‘forward’ các email đã trao đổi và yêu cầu người nhận phải tự đọc và tổng hợp thông tin.
